Keep the property history separate from the tenancy

A unit remains the same when its tenant changes. Lease terms, payment records, and private documents belong to the relevant tenancy, while maintenance history may need to stay with the property. Define access so an incoming tenant cannot see a previous tenant's records.

Maintenance needs a complete journey: report the issue, assign responsibility, arrange access, record progress, and confirm completion. Tenant notifications and contractor access should follow the status and permissions agreed for that journey.
